Reminders Glossary

Course and session reminders react to event triggers and send notifications to users as configured by the administrator. Events are called “reminder event triggers.” Each reminder event trigger targets a segment of users who will receive the reminders. This glossary describes the intended use of every combination of reminder event trigger and user segment.

Definitions

Reminder event trigger: The action or event that causes the reminder to be sent.
User segment: The user or users that will receive the reminder.
Active enrollment: An enrollment in a course or session that has not expired.
Activity: An EthosCE session or course.

Certain reminder event triggers and user segment list combinations are not possible. These scenarios are labeled ‘Not applicable’ accordingly in the tables below.

Course enrollment created A course enrollment is created when a user purchases a paid course or enrolls in a free course.
User Segment	Sends reminder to:
Enrolled	The enrolled learner when their enrollment has been created.
Active	The enrolled learner with an ‘active’ status when their enrollment has been created
Expired	Not applicable. This reminder event trigger and user segment combination will not produce any reminders.
Incomplete	The enrolled learner, when their enrollment has been created, if they have not completed the course.
Complete	Not applicable. This reminder event trigger and user segment will not produce any reminders.
Specific user	One or more user accounts specified in the reminder’s “Email” field every time a new course enrollment has been created.
[ROLE]	All users with the role selected in the “Send to” field every time a new course enrollment has been created.
Users with incomplete faculty forms	Not applicable unless faculty are enrolled.
Activity author	The activity author every time a new course enrollment has been created.

Course enrollment started A course enrollment is started when a user clicks the start button on the course or enrolls via SMS attendance.
User Segment	Sends reminder to:
Enrolled	The enrolled learner when they have started the course.
Active	The enrolled learner with an ‘active’ status when they have started the course.
Expired	Not applicable. This reminder event trigger and user segment will not produce any reminders.
Incomplete	The enrolled learner, when their enrollment has been started, if they have not completed the course.
Complete	Not applicable. This reminder event trigger and user segment will not produce any reminders.
Specific user	One or more user accounts specified in the reminder’s “Email” field every time a new course enrollment has been started.
[ROLE]	All users with the role selected in the “Send to” field every time a new course enrollment has been started.
Users with incomplete faculty forms	Not applicable unless faculty are enrolled.
Activity author	The activity author every time a new course enrollment has been started.

Course enrollment end A user’s course enrollment ends on their enrollment end date (if set). The course enrollment end date is set per user, not per course.
User Segment	Sends reminder to:
Enrolled	The enrolled learner when their course enrollment has ended.
Active	The enrolled learner with an ‘active’ status when their enrollment has ended.
Expired	The enrolled learner with an expired enrollment when their course enrollment has ended.
Incomplete	The enrolled learner, when their enrollment has ended, if they have not completed the course.
Complete	The enrolled learner, when their enrollment has ended, if they have completed the course.
Specific user	One or more user accounts specified in the reminder’s “Email” field every time a course enrollment has ended.
[ROLE]	All users with the role selected in the “Send to” field every time a course enrollment has ended.
Users with incomplete faculty forms	Not applicable unless faculty are enrolled.
Activity author	The activity author every time a course enrollment has ended.

Course enrollment complete A user’s course enrollment ends when all required course objects in the course have been completed.
User Segment	Sends reminder to:
Enrolled	The enrolled learner when their course enrollment is complete.
Active	The enrolled learner with an ‘active’ status when their enrollment is complete.
Expired	The enrolled learner with an expired enrollment when their course enrollment is complete. Can only be trigged by manual completion of a learner’s enrollment.
Incomplete	Not applicable. This reminder event trigger and user segment will not produce any reminders.
Complete	The enrolled learner, when their enrollment is complete.
Specific user	One or more user accounts specified in the reminder’s “Email” field every time a course enrollment is completed.
[ROLE]	All users with the role selected in the “Send to” field every time a course enrollment has been completed.
Users with incomplete faculty forms	Not applicable unless faculty are enrolled.
Activity author	The activity author every time a course enrollment has been completed.

Specific Date A specific date when a reminder will be sent to recipients in the course.
User Segment	Sends reminder to:
Enrolled	All enrolled learners on the selected date.
Active	All enrolled learners with an ‘active’ status on the selected date.
Expired	All enrolled learners with an expired enrollment on the selected date.
Incomplete	All incomplete learners with an expired enrollment on the selected date.
Complete	All enrolled learners, when their enrollment is complete, on the selected date.
Specific user	One or more user accounts specified in the reminder’s “Email” on the selected date.
[ROLE]	All users with the role selected in the “Send to” field on the selected date.
Users with incomplete faculty forms	Faculty users assigned to the course, on the selected date, if they have one or more incomplete faculty forms.
Activity author	The activity author on the selected date.

Start and expiration date: start The start date of the course. This date is set in the start date field on the course. Not to be confused with the event start date.
User Segment	Sends reminder to:
Enrolled	All enrolled learners on the start date.
Active	All enrolled ‘active' learners on the start date.
Expired	Not applicable. This reminder event trigger and user segment combination will not produce any reminders.
Incomplete	All incomplete learners on the start date.
Complete	Not applicable. This reminder event trigger and user segment combination will not produce any reminders.

Start and expiration date: end The end date of the course. This date is set in the expiration date field on the course. Not to be confused with the event end date.

Enrolled	All enrolled learners on the end date.
Active	All enrolled ‘active’ learners on the end date.
Expired	All enrolled learners with an expired enrollment on the end date.
Incomplete	All incomplete learners with an expired enrollment on the end date.
Complete	All complete learners on the event start date.
Specific user	One or more user accounts specified in the reminder’s “Email” on the end date.

Users with incomplete faculty forms	Faculty users assigned to the course, on the end date, if they have one or more incomplete faculty forms.

Event date: start The start date of the event. Only applicable for live courses. This date is set in the event date field on the course.
User Segment	Sends reminder to:
Enrolled	All enrolled learners on the event start date.
Active	All ‘active’ learners on the event start date.
Expired	All enrolled learners with an expired enrollment on the event start date.
Incomplete	All incomplete learners with an incomplete enrollment on the event start date.
Complete	All complete learners with a complete enrollment on the event start date.
Specific user	One or more user accounts specified in the reminder’s “Email” on the event start date.
[ROLE]	All users with the role selected in the “Send to” field on the event start date.
Users with incomplete faculty forms	Faculty users assigned to the course, on the event start date, if they have one or more incomplete faculty forms.
Activity author	The activity author on the event start date.

Event date: end The end date of the event. Only applicable for live courses. This date is set in the event date field on the course.
User Segment	Sends reminder to:
Enrolled	Send a reminder based on the event end date to all enrolled users.
Active	Send a reminder based on the event end date to all enrolled users with a status of ‘active’.
Expired	Send a reminder based on the event end date to all enrolled users with a status of ‘expired’.
Incomplete	Send a reminder based on the event end date to all enrolled users with a status of ‘active’ who are currently incomplete.
Complete	Send a reminder based on the event end date to all enrolled users who have completed the course.
Specific user	Send a reminder based on the event end date to a registered user(s) by entering the user’s email address(s).
[ROLE]	All system users by selected role list.
Users with incomplete faculty forms	Send a reminder based on the event end date to a faculty user with an incomplete faculty form.
Activity author	Send a reminder based on the event end date to the registered user with the current activity author status.

Course object started A course object is started when the user loads the course object page.
User Segment	Sends reminder to:
Enrolled	Send a reminder when an enrolled learner has a started a specific course object.
Active	Send a reminder when an ‘active’ enrolled learner has started a specific course object.
Expired	Send a reminder when an ‘expired’ enrolled learner has started a specific course object.
Incomplete	Send a reminder when an enrolled learner marked as incomplete has started a specific course object.
Complete	Send a reminder when an enrolled learner marked as complete has started a specific course object.
Specific user	Send a reminder when an enrolled learner has started a specific course object to a registered user(s) by entering the user’s email address(s).
[ROLE]	All system users by selected role list.
Users with incomplete faculty forms	Not applicable. This reminder event trigger and recipient list group will not occur.
Activity author	Send a reminder when an enrolled learner has started a specific course object to the registered user with the current activity author status.

Course object completed A course object is completed when the requirements of that object have been met. For example, passing a quiz, completing an evaluation or being marked attended.
User Segment	Sends reminder to:
Enrolled	Send a reminder when an enrolled learner has a completed a specific course object.
Active	Send a reminder when an ‘active’ enrolled learner has completed a specific course object.
Expired	Send a reminder when an ‘expired’ enrolled learner has completed a specific course object.
Incomplete	Send a reminder when an enrolled learner marked as incomplete has completed a specific course object.
Complete	Send a reminder when an enrolled learner marked as complete has a scompleted a specific course object.
Specific user	Send a reminder when an enrolled learner has completed a specific course object to a registered user(s) by entering the user’s email address(s).
[ROLE]	All system users by selected role list.
Users with incomplete faculty forms	Not applicable. This reminder event trigger and recipient list group will not occur.
Activity author	Send a reminder when an enrolled learner has completed a specific course object to the registered user with the current activity author status.

Faculty form assigned When a faculty form has been assigned to a faculty user associated with the course.
User Segment	Sends reminder to:
Enrolled	Not applicable. This reminder event trigger and recipient list group will not occur.
Active	Not applicable. This reminder event trigger and recipient list group will not occur.
Expired	Not applicable. This reminder event trigger and recipient list group will not occur.
Incomplete	Not applicable. This reminder event trigger and recipient list group will not occur.
Complete	Not applicable. This reminder event trigger and recipient list group will not occur.
Specific user	Send a reminder when a faculty form has been assigned. Admins will need to a registered user(s) by entering the user’s email address(s).
[ROLE]	All system users by selected role list.
Users with incomplete faculty forms	Send to all faculty users with incomplete faculty forms when a new faculty form has been assigned.
Activity author	Send a reminder when a faculty form has been assigned. This notifiation will send to the registered user with the current activity author status.
