Reminders Glossary

Reminders can be used to send emails or SMS text messages to users and are configured by an administrator user.

Events that trigger a reminder to send are called “reminder event triggers.” Each reminder event trigger targets a segment of users who will receive the reminders. This glossary describes the intended use of every combination of reminder event trigger and user segment.

Definitions

Reminder event trigger: The action, event or date that causes the reminder to be sent.
User segment: The user or group of users that will receive the reminder.
Activity: A generic term for an EthosCE session or course.

User Segments

Enrolled: A learner with an enrollment in a course or session. Includes both active and expired enrollments.
Active: An enrolled learner whose enrollment has not expired.
Expired: Occurs when a learner's enrollment end date exists and is in the past. The learner is no longer able to access the course.
Incomplete: A enrolled learner who has not completed all required course objects in the course.
Complete: An enrolled learner who has completed all required course objects in the course.
Specific user: One or more user emails specified in the reminder’s “Email” field. The user(s) must have an account in the EthosCE site.
[ROLE]: An EthosCE system role, such as site admin or course admin.
Users with incomplete faculty forms: Faculty on the activity who have been assigned faculty forms that have not been submitted.
Activity author: The EthosCE administrative user who is listed in the Authored by field.

Reminder logic is evaluated at the time the reminder is scheduled to send. Reminders are not evaluated at the time the reminder event trigger happens.

For example, in a course configured with:

a required quiz, and;
a reminder set to send 10 days after enrollment to incomplete learners.

Although all learners are incomplete upon enrollment, not all learners will receive the reminder. 10 days after each learner’s enrollment, when the reminder logic is evaluated, only those learners who are incomplete will be sent the reminder.

Certain reminder event triggers and user segment list combinations are not possible. These scenarios are labeled ‘Not applicable’ accordingly in the tables below.

Course enrollment created A course enrollment is created when a user purchases a paid course or enrolls in a free course.
User Segment	Sends reminder to:
Enrolled	The enrolled learner, at the scheduled send time, based on the learner’s enrollment creation date.
Active	The enrolled learner with an active enrollment status at the scheduled send time, based on the learner’s enrollment creation date.
Expired	The enrolled learner with an expired enrollment status at the scheduled send time, based on the learner’s enrollment creation date.
Incomplete	The enrolled learner with an incomplete enrollment status at the scheduled send time, based on the learner’s enrollment creation date.
Complete	The enrolled learner with a complete enrollment status at the scheduled send time, based on the learner’s enrollment creation date.
Specific user	One or more user accounts specified in the reminder’s “Email” field, at the scheduled time based on enrollment creation date, every time a course enrollment has been created.
[ROLE]	All users with the role selected in the “Send to” field, at the scheduled time based on enrollment creation date, every time a course enrollment has been created.
Users with incomplete faculty forms	Not applicable unless faculty are enrolled.
Activity author	The activity author at the scheduled time, based on enrollment create date, every time a course enrollment has been created.

Course enrollment started A course enrollment is started when a user clicks the start button on the course or enrolls via SMS attendance.
User Segment	Sends reminder to:
Enrolled	The enrolled learner, at the scheduled time, based on when they have started the course.
Active	The enrolled learner with an active enrollment status at the scheduled send time, based on when they have started the course.
Expired	The enrolled learner with an expired enrollment status at the scheduled send time, based on when they have started the course.
Incomplete	The enrolled learner with an incomplete enrollment status at the scheduled send time, based on when they have started the course.
Complete	The enrolled learner with a complete enrollment status status at the scheduled send time, based on when they have started the course.
Specific user	One or more user accounts specified in the reminder’s “Email” field, at the scheduled time, based on enrollment start date every time a course enrollment has been started.

Activity author	The activity author at the scheduled time, based on enrollment start date, every time a course enrollment has started.

Course enrollment end A user’s course enrollment ends on their enrollment end date (if set). The course enrollment end date is set per user, not per course.
User Segment	Sends reminder to:
Enrolled	The enrolled learner, at the scheduled time based on when their course enrollment has ended.
Active	The enrolled learner with an active enrollment status at the scheduled time, based on when their enrollment has ended.
Expired	The enrolled learner with an expired enrollment status at the scheduled time, based on when their enrollment has ended.
Incomplete	The enrolled learner with an incomplete enrollment status at the scheduled time, based on when their enrollment has ended.
Complete	The enrolled learner with a complete enrollment status at the scheduled time, based on when their enrollment has ended.
Specific user	One or more user accounts specified in the reminder’s “Email” field, at the scheduled time based on enrollment end date, every time a course enrollment has ended.

Course enrollment complete A user’s course enrollment ends when all required course objects in the course have been completed.
User Segment	Sends reminder to:
Enrolled	The enrolled learner, at the scheduled time, based on when their course enrollment has been completed.
Active	The enrolled learner with an active enrollment status at the scheduled time, based on when their enrollment has been completed.
Expired	The enrolled learner with an expired enrollment status at the scheduled time, based on when their enrollment has been completed.
Incomplete	Not applicable. This reminder event trigger and user segment will not produce any reminders.
Complete	The enrolled learner with a complete enrollment status status at the scheduled time, based on when their enrollment has been completed.
Specific user	One or more user accounts specified in the reminder’s “Email” field, at the scheduled time based on enrollment completion date, every time a course enrollment has been completed.

Specific Date A specific date when a reminder will be sent to recipients in the course.

Start and expiration date: start The start date of the course. This date is set in the start date field on the course. Not to be confused with the event start date.

Start and expiration date: end The end date of the course. This date is set in the expiration date field on the course. Not to be confused with the event end date.

Course object inactivity An inactivity reminder is triggered at the specified period of time after a learner has started, but not completed a course object.

Active	The enrolled learner with an active enrollment status at the scheduled time, after a learner has started, but not completed a course object.
Expired	The enrolled learner with an expired enrollment status at the scheduled time, after a learner has started, but not completed a course object.
Incomplete	The enrolled learner with an incomplete enrollment status at the scheduled time, after a learner has started, but not completed a course object.
